How to Link Related Items Using extraItemData.csv

This guide explains how to add and update related items using the extraItemData.csv file, upload it to the FTP server, and synchronize it within the App4Sale CMS.

1. File Structure

The extraItemData.csv file uses a semicolon (;) delimiter and contains two columns:

Column

Description

Example

ItemCode

Item code/SKU of the main product

107425

RelatedItems

Linked item codes formatted in XML

<relatedItems><string>109418</string></relatedItems>

2. Format for RelatedItems

inked items must strictly adhere to an XML string format:

  • The entire string is wrapped in <relatedItems> and </relatedItems>.

  • Each individual item code is enclosed between <string> and </string>.

Format:

<relatedItems><string>ITEM_1</string><string>ITEM_2</string><string>ITEM_3</string></relatedItems>

Example line in the CSV file:

107425;<relatedItems><string>109418</string><string>132344</string><string>136665</string></relatedItems>

3. Editing and Saving

  1. Editing:

    • Text Editor (e.g., Notepad++, VS Code): Add a new line containing ItemCode; followed by the XML string. This ensures delimiters and character encoding remain untouched.

    • Excel: Enter the main item code in Column A and the complete XML string in Column B. You can use an Excel formula to concatenate codes:

      ="<relatedItems><string>" & B1 & "</string><string>" & C1 & "</string></relatedItems>"

  2. Saving:

    • Save the file as a CSV (Semicolon delimited) with UTF-8 encoding.

    • Verify that the delimiter remains a semicolon (;) and not a comma (,).

4. Upload and Synchronization

  1. Pre-check: Ensure that both the main item code and all linked item codes already exist in your ERP or catalog system.

  2. FTP Upload: Connect to the FTP server and upload the updated extraItemData.csv file to the designated import directory.

  3. Run Synchronization: Log in to the App4Sale CMS and run a synchronization task to apply the changes.
