When selling items in different units (e.g., per piece and per box), it is essential that the purchase unit is configured correctly. In Exact Online, this can sometimes be complex. This article explains how to set this up so that quantities in Exact, App4Sales, and Portal4Sales are always accurate.
To ensure an item with a purchase unit of, for example, 12 pieces (1 box) works correctly, we need to configure three key elements:
1. Units & Conversion Factors
Exact needs to know that a 'Box' is not a standalone item, but a collection of pieces.
· Master Data > Units: Ensure the unit 'Box' has a conversion factor to 'Piece'.
· Setting: 1 Box = 12 Pieces.
· Result: When you purchase 1 box, Exact automatically adds 12 pieces to your stock.
2. Purchase Settings (The Logic)
Ensure the system understands that you can only order full packages from the supplier.
· Item Card > Purchase Tab:
o Purchase unit: Set this to 'Box'.
o Purchase price: Note! Enter the price for the entire box here (e.g., 12x the price per piece).
o Minimum: Set this to 1 (meaning you must purchase at least 1 box).
3. The Synchronization Step (The Free Field)
Sometimes App4Sales does not directly recognize the standard Exact purchase fields as a 'hard' Purchase Unit. To resolve this, we use a Free Field.
1. Configuration: Use a specific Free Field on the item card (e.g., 'Free field 1' or a specific numeric field).
2. Data Entry: Enter the number of the purchase unit here (e.g., 12).
3. Linking to the CMS: In the App4Sales CMS, go to Administration > Connector Settings. Locate the field: "Get purchase package size from free field" and enter the name/number of the free field used on the item card.
4. Synchronization: Go to Administration > Installation. On the right, you will find the Synchronization settings. Check the options "Package size" and "Minimum Order Quantity", then start your synchronization.
Result: After synchronization, the configured Package Size and Minimum Order Quantity (MOQ) will be visible on your item card within the CMS.
